Who we are

This website is run by OD3X Ltd, trading as OD3X Systems, a company registered in Hong Kong (registration number 3014887) with its registered office at Unit 1113, 1/F, Peninsula Centre, 67 Mody Road, Tsim Sha Tsui, Kowloon, Hong Kong. We decide how the personal data described here is used. For anything about your data, email legalcompliance@okradatacom.com.

What we collect and why

  • When you use our contact form: your name, company, email address, phone number if you give it, and your message. We use them to reply to you. Our lawful basis is our legitimate interest in answering enquiries.
  • When you book a free systems review: the booking itself happens on Calendly, which collects the details you enter there and passes them to us. We use them to hold the call and write your summary. Our lawful basis is taking steps you have asked for before any contract.
  • When you email or call us: what you send or tell us, used to deal with your request, on the same legitimate interest basis.
  • When you agree to analytics cookies: Google Analytics records how the site is used: pages visited, the device and browser, and an approximate location. We use it to see which pages help people. Our lawful basis is your consent, which you can withdraw at any time with the Cookie settings button at the foot of every page.

We do not sell your data, and we do not use it for automated decisions about you.

Who we share it with

  • Google, which provides our email (Google Workspace) and, only if you consent, Google Analytics
  • Calendly, which runs our booking calendar
  • Our website hosting provider, which serves the site and handles the contact form

Each acts on our instructions under a contract that protects your data.

Where your data goes

We are based in Hong Kong, and our providers may process data in the United States and elsewhere. Where personal data leaves the UK or the European Economic Area, we rely on the safeguards UK and EU data protection law require, such as approved contract terms or a recognised adequacy arrangement. We also follow Hong Kong's Personal Data (Privacy) Ordinance.

How long we keep it

  • Enquiries and booking details: two years from our last contact with you, unless you become a client, when our contract with you sets the period
  • Analytics data: 14 months

Your rights

You can ask us for a copy of your data, to correct it, to delete it, to limit or object to how we use it, or to move it to another provider, and you can withdraw consent at any time. Email legalcompliance@okradatacom.com and we will reply within one month. If you are in the UK and unhappy with our answer, you can complain to the Information Commissioner's Office at ico.org.uk.

We will update this notice when our practices change, and show the date at the top.
